2. Hosting and processing agreement

The website setuphelfer.de is hosted by 1&1 IONOS SE, Elgendorfer Str. 57, 56410 Montabaur, Germany. A contract exists with IONOS for hosting services. A data processing agreement (DPA) with IONOS for processing personal data on our behalf is available in the IONOS customer account (processor agreement under Article 28 GDPR).

IONOS processes in particular technical data arising on each visit to the site (see “Server log files”). Further information: IONOS privacy policy at ionos.de.

Retention (hosting logs): Essentially as described under “Server log files”; IONOS may apply product-specific technical retention — the settings documented by IONOS and the purpose limitation described here apply.

3. Server log files

When you visit this website, the hosting server temporarily collects and stores information in server log files. In particular the following categories of data are processed:

  • IP address of the requesting device (truncated or full, depending on server configuration)
  • Date and time of the request
  • Requested resource (URL) and HTTP method
  • Amount of data transferred
  • HTTP status code
  • User-Agent (browser and operating system, if sent)
  • Referrer URL (if sent by the browser)

Purpose: Ensuring a stable connection, security and integrity of the system (e.g. detection and defence against attacks), technical administration and error analysis.

Legal basis: Article 6(1)(f) GDPR (legitimate interest in a secure and functional website). Where storage is required to comply with legal obligations, Article 6(1)(c) GDPR may apply.

Recipient: Hosting provider IONOS as technical processor under the DPA.

4. Contact form

If you use the contact form on this website, we process the data you enter (in particular name, e-mail address, subject, message text and, if applicable, the extra field for “Other”) solely to handle and respond to your enquiry. Transmission is by e-mail on the server to the configured recipient address (piinstaller@setuphelfer.de). Data are not passed on for advertising purposes.

Purpose: Handling your enquiry in connection with the SetupHelfer project (software, content, technical issues or suggestions).

Legal basis: Article 6(1)(b) GDPR (pre-contractual measures and contract initiation at your request in connection with SetupHelfer and the software and content offered). Where an enquiry has no discernible connection to this offer, processing may also rely on Article 6(1)(f) GDPR (legitimate interest in responding to serious enquiries). If you voluntarily provide special categories of data (Article 9 GDPR), processing is only with your explicit consent under Article 9(2)(a) GDPR in conjunction with Article 7 GDPR.

Retention: Data are deleted when no longer needed for the purpose, unless statutory retention obligations (e.g. commercial or tax law) apply. E-mails may be retained for typical backup cycles only as long as technically necessary for traceability or as required by law.

5. Contact by e-mail

If you contact us by e-mail, we process the data in the message (at least your e-mail address and the content) to handle the enquiry and store them in the relevant mailboxes.

Legal basis: Article 6(1)(b) GDPR and/or Article 6(1)(f) GDPR (handling the enquiry; legitimate interest in communication with users).

Retention: After the matter is concluded we delete correspondence once no retention duties remain. In practice, routine e-mail is usually deleted within up to three years after the last material contact with the matter, unless longer commercial, tax or professional retention periods apply (often 6 to 10 years for booking-relevant content). Provider backups may overlap for a short technical period.

6. Cookies and similar technologies

This website uses strictly necessary cookies or local storage where essential for operation (e.g. WordPress session or security functions, storing your chosen language). These are required for the functions provided and are not used for advertising.

Optional cookies or similar technologies (in particular for reach measurement or statistics, e.g. Matomo) are only set or triggered after you consent. Without consent, no non-essential analytics or marketing cookies are set.

Legal basis: For strictly necessary storage and access to information on your device: Section 25(2) No. 2 TTDSG in conjunction with Article 6(1)(f) GDPR (legitimate interest in a functional and secure site). For optional non-essential cookies and access to device information for analytics: Section 25(1) TTDSG in conjunction with Article 6(1)(a) GDPR (consent), unless a statutory exception applies.

7. Consent management (theme banner)

If the Complianz Privacy Suite plugin is not active, optional statistics consent is managed via a notice banner in this theme. You can choose “Accept all”, “Decline” or “Settings”; there is no pre-ticked opt-in for analytics. Your choice is stored in the browser under the key setuphelfer_consent_analytics (localStorage); the banner reappears when no stored choice exists.

Legal basis: Article 6(1)(c) GDPR where a legal duty to document consent applies, and Article 6(1)(f) GDPR (legitimate interest in verifiable consent management and compliance with TTDSG/GDPR).

8. SetupHelfer desktop application (local backend vs. website)

When you run the SetupHelfer desktop application, it communicates with a service on your computer or your local network (typical API endpoints e.g. /api/system-info, /api/status, /api/system/network). This processing is separate from the setuphelfer.de website: it occurs on your system or under your network control. The website operator does not operate a central collection service for this and does not automatically receive these data.

  • Local: running the app, API calls to localhost or addresses you allow on the LAN, display of status in the browser only where your browser itself connects to that local address (without transmission to us).
  • Via the website: Data are transmitted to us only if you actively send them (e.g. contact form, e-mail) or where another processing activity with its own legal basis is described.

Legal basis: Local processing is your responsibility as user/local installation; the website operator does not process personal data through the website where no such data are transferred via setuphelfer.de. Disclosure from the local application to us only occurs when you explicitly send it.

9. Network features and local reachability

Some content on this website may display status or diagnostic information from a service reachable only on your local network or from a locally installed application. This function does not transmit such data to external servers of the operator or to third parties unless separately described with a separate legal basis.

Legal basis: Where the website itself does not process personal data from the local network, the website operator does not process data for that step. Where the website only connects client-side to a local address (e.g. localhost or a host in your subnet), processing occurs on your device under your control.

10. Language preference (website language)

When you switch language, routing is handled via Polylang language paths (for example / and /en/).

Purpose: Displaying the website in your chosen language.

Legal basis: Article 6(1)(f) GDPR (legitimate interest in user-friendly display in the chosen language); where applicable Section 25(2) TTDSG (storage or access strictly necessary).

Retention: typically up to 12 months unless you change the setting or delete cookies earlier.

11. Community (forum software)

If you use the community forums (e.g. bbPress) and create an account or post content, we process the data you enter there (e.g. username, e-mail on registration, post text, timestamps) to provide the forum.

Legal basis: Article 6(1)(b) GDPR (contract for use of the community) and Article 6(1)(f) GDPR (operation, security and moderation of the forum).

Publicly visible posts may be indexed by search engines.

12. WordPress

This website uses WordPress. Technical data may be processed for logins, media uploads or security features, depending on enabled features and your use.

Legal basis: Article 6(1)(b) GDPR and Article 6(1)(f) GDPR.

13. External links

If you follow external links (e.g. to GitHub), you leave our website; the third-party provider is responsible for data processing there.

14. Retention (overview)

  • Server log files: usually automatic deletion or anonymisation within 7 to 14 days, unless longer retention is required for evidence in security incidents or by law.
  • Contact enquiries (form/e-mail): deletion when the purpose is fulfilled unless statutory retention applies; for business-relevant records up to 6 or 10 years under commercial/tax law where applicable.
  • Consent state (theme, optional analytics): stored in browser localStorage until you delete it or change device; no server-side user profiles by this theme.
  • Forum data: as long as the account exists or posts are published; after account deletion, removal or anonymisation unless retention is required by law.

14a. Supplement: Matomo, fonts, consent tool

Matomo (statistics, only after consent)

If Matomo is used for reach analysis, Matomo JavaScript and related cookies are loaded only after you consent (via Complianz or the theme banner — see section 7 and the cookie policy). Without consent, no Matomo analysis runs on this website. Storage of analytics data on our side requires that consent; legal basis: Article 6(1)(a) GDPR in conjunction with Section 25(1) TTDSG.

Fonts and embedded resources

This theme uses a local system font stack (e.g. Inter if installed, otherwise Segoe UI, Roboto, Arial) — we do not embed web fonts from Google Fonts or comparable providers. Fonts therefore do not cause an additional data flow to third parties.

Complianz (if active)

If Complianz Privacy Suite is active, it blocks non-essential scripts until consent when configured correctly. Please configure categories Essential and Statistics (optional) in the plugin and assign Matomo to Statistics. Withdrawal: cookie settings / withdraw consent (see cookie policy).

15. Data subject rights (Articles 15–21 GDPR)

Where the statutory requirements are met, you have in particular:

  • Article 15 GDPR: access to personal data we process
  • Article 16 GDPR: rectification of inaccurate data
  • Article 17 GDPR: erasure (“right to be forgotten”)
  • Article 18 GDPR: restriction of processing
  • Article 20 GDPR: data portability

17. Withdrawal of consent

You may withdraw consent to optional analytics with effect for the future by deleting site data for setuphelfer.de in your browser or choosing “Decline” again in the notice banner (the banner reappears when no stored choice exists). You may also contact us by e-mail at the controller address above.

Lawfulness of processing based on consent before withdrawal remains unaffected.

18. Transfers to third countries

Transfers to countries outside the EU or EEA only occur if you have explicitly consented, if necessary for performance of a contract, or if another legal basis applies and GDPR requirements are met (in particular appropriate safeguards under Article 46 GDPR).

19. Changes to this policy

We update this privacy policy when legal requirements or our processing activities change. The version published on the website at the time of your visit applies.
